LandlordMate Privacy Policy

Privacy Policy for LandlordMate

Last updated: 9 July 2026

LandlordMate (“the App”) is provided as a free, ad-supported application. This page is used to inform users regarding our policies with the collection, use, and disclosure of information.

Information Collection and Use

The App does not collect, store, or transmit any personally identifiable information from its users. We do not require you to create an account or provide any personal data to use the App.

All data you create in the App — including your properties, tenants, mortgages, valuations, income and expense records, assets, inspections, maintenance jobs, contractors, compliance certificates, documents, property-manager statements, photos, and notes — is stored only on your device in a local database and local files. We do not have access to this data, and it is not uploaded to us or to any server we operate.

Camera and Photos

The App requests camera permission and access to your photos so that you can:

  • Capture receipts and have their details read using optical character recognition (OCR), and
  • Attach photos to your properties and to room-by-room inspection records.

Any photos you add are stored locally on your device alongside your other App data. Receipt OCR is performed entirely on your device — images are not uploaded to us or to any third party for processing. Photos are only ever shared if you choose to do so yourself (for example, through the cross-device sync or backup features described below).

Cross-Device Sync

The App includes an optional cross-device sync feature. When you enable it, your data is synchronised through a cloud folder or shared file that you choose and control (for example, a folder in your own cloud storage). We do not operate a sync server, and your data is never sent to us. The security and privacy of the storage location you select are governed by that provider’s own terms and privacy policy.

Backup and Restore

The App includes an optional backup feature that creates a .zip file containing your database and photos. This file is created at your request and is saved or shared only through the method you choose (for example, saving to your device, cloud storage, or another app) using your device’s standard share sheet. We do not receive or store your backups.

Third-Party Services

The App uses the following third-party services that may collect information:

  • Google AdMob — used to display advertisements. AdMob may collect device identifiers (including the advertising ID), IP address, and usage data to serve personalised or non-personalised ads. See Google’s privacy policy: https://policies.google.com/privacy
  • Google Play Services — required for advertising and core functionality on Android devices. See: https://policies.google.com/privacy

Advertising and Consent

The App displays advertisements provided by Google AdMob. These ads may use cookies or device identifiers (including the advertising ID) to provide relevant advertising. The App also offers an optional rewarded video ad that temporarily unlocks certain premium features.

Where required (for example, for users in the European Economic Area and the United Kingdom), the App uses Google’s User Messaging Platform (UMP) to request consent before serving personalised ads. You can change your choice at any time, and you can opt out of personalised advertising through your device settings under Google > Ads > Opt out of Ads Personalisation.

Permissions Used

  • Internet / Network access — to display ads and, when you enable it, to sync your data with the cloud folder or shared file you choose.
  • Camera — to capture receipts for on-device OCR and to take property and inspection photos.
  • Storage — to save and read your backup files, exported reports, and photos on your device.
  • Notifications — to show local reminders (for example, lease expiry, overdue rent, and insurance or compliance renewals).
  • Advertising ID — used by Google AdMob for advertising, as described above.

The App does not request location, contacts, or microphone permissions.

Log Data

In the event of an error, the App may collect diagnostic data (“Log Data”) through third-party services. This Log Data may include your device name, operating system version, the configuration of the App, the time and date of use, and other statistics.

Links to Other Sites

The App may contain links to external websites. These external sites are not operated by us, and we strongly advise you to review their privacy policies. We have no control over the content or practices of any third-party sites or services.

Children’s Privacy

The App is intended for a general audience and is not directed at children. It does not knowingly collect personal information from children under 13. If we discover that a child under 13 has provided personal information, we will delete it immediately.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated revision date. You are advised to review this page periodically.
